Shotshape is built on privacy — your own studio, on your own time. This policy explains, in plain language, what information we collect when you visit our website or use our studios, how we use it, and the choices you have. It applies to shotshapegolfstudio.com and to our studio locations operated by Shotshape Golf LLC and Shotshape Golf Uptown LLC ("Shotshape," "we," "us").

01Information We Collect on Our Website

When you visit our website, request information, join a waitlist, or contact us, we collect the information you provide directly — typically your name, email address, and phone number.

Like most websites, we also collect limited technical information automatically through cookies and analytics tools (Google Analytics), such as device type, browser, pages visited, and general location. We use this to understand how the site is used and to improve it. You can control cookies through your browser settings.

02Information We Collect from Members

If you become a member or purchase a pass, we and our service providers collect and process:

• Identity and contact information — name, date of birth, email, phone, and emergency contact information, collected through our membership platform (GymMaster).
• Payment information — payments are processed by our membership platform and its payment processors. Shotshape does not store full credit card or bank account numbers on its own systems.
• Facility access data — records of when a facility is accessed using your credentials, and your booking and reservation history.
• Simulator session data — our golf simulators (Trackman) record swing, ball-flight, and session performance data associated with your account, which you can access through the Trackman platform.
• Video recordings — as described in the Video Surveillance section below.

We use this information to provide and administer memberships, process payments, control facility access, communicate with you about your membership, maintain safety and security, and comply with legal obligations.

03Video Surveillance at Our Studios

For the safety and security of our members, guests, and facilities, our studio locations are equipped with video surveillance cameras.

• What is recorded: Video only. Our cameras do not record audio.
• Where: Each studio has two cameras — one covering the lounge and entrance area, and one covering the hitting bay. No cameras are located in any restroom or similar private area.
• Why: We use recordings for facility security, protection of equipment, investigation of incidents (including injuries, property damage, and violations of our Membership Agreement or House Rules), and verification of authorized access.
• Retention: Recordings are automatically deleted after thirty (30) days, unless a specific recording is preserved as part of an active incident investigation, an insurance claim, a legal proceeding, or as required by law.
• Storage: Recordings are stored in an encrypted cloud video management system operated by our security provider, with temporary encrypted buffering on secure on-site equipment.
• Access: Access to recordings is limited to Shotshape ownership and our security system provider as necessary to maintain the service. We do not sell video recordings or use them for marketing.

04How We Share Information

We do not sell your personal information. We share information only with:

• Service providers that operate parts of our business on our behalf — including GymMaster (membership and payments), Trackman (simulator data), Squarespace (website), Google Analytics (site analytics), and our security system provider (video surveillance). Each provider processes information only as needed to provide its service.
• Insurers, legal counsel, and law enforcement in connection with an incident, claim, legal obligation, or to protect the rights, safety, or property of Shotshape, our members, or others.
• Emergency responders, to whom we may provide your identity and emergency contact information if you appear to require emergency assistance at a facility.

05How Long We Keep Information

We keep member account information for as long as your membership is active and as needed afterward for legitimate business purposes, such as tax, accounting, and legal requirements. Video recordings are retained for thirty (30) days as described above. Website inquiry information is kept only as long as needed to respond and follow up.

06Your Choices

• Marketing emails: You can unsubscribe at any time using the link in any marketing message. We will still send transactional messages about your membership.
• Your information: You may request access to, correction of, or deletion of your personal information by contacting us. Some information must be retained where the law or our legitimate business needs require it.
• Cookies: You can manage or disable cookies in your browser settings.

07Children

Membership is restricted to adults 18 and older, and our website is not directed to children. Minors may only be present at a studio as the guest of a member in accordance with our Membership Agreement, and we do not knowingly collect personal information from children online.

08Changes to This Policy

We may update this policy from time to time. When we make a material change, we will update the date at the top of this page and, where appropriate, notify members by email. Continued use of our website or facilities after an update means the revised policy applies.
